Customers and contacts

Customers are the companies or organisations you work with. Contacts are the people linked to those customer records.

Recommended structure

  • Create one customer record per company.
  • Add each person as a contact under the correct customer.
  • Use contact permissions to control what each person can see in the client portal.
  • Keep billing contacts and project contacts clearly separated where possible.

Useful details to maintain

  • Business address, billing address, phone number, website, and account owner.
  • Contact email addresses, roles, and portal permissions.
  • Notes, files, invoices, projects, contracts, and support tickets linked to the customer.

Why clean records matter

  • Invoices, proposals, projects, tickets, and reports depend on accurate customer data.
  • Good customer records reduce duplicate work when staff change or customers ask questions.

Good to know: Avoid creating duplicate customer records for the same business unless there is a clear reason.
