These Terms of Service explain the rules for using Perfexly, a hosted CRM workspace for managing leads, customers, projects, invoices, payments, support tickets, and related business activity. By creating an account, starting a trial, subscribing to a plan, or using the service, you agree to these terms.

Plain English summary

Perfexly provides hosted CRM workspaces for businesses. You are responsible for the data, users, permissions, and business decisions inside your workspace. We are responsible for providing and maintaining the hosted platform with reasonable care. Plan prices, limits, payment methods, add-ons, cancellation rules, and support boundaries are explained below.

1. The service

Perfexly provides access to a hosted CRM workspace. Depending on your plan, this may include tools for contacts, companies, leads, proposals, estimates, invoices, payments, recurring billing, projects, tasks, support, files, reports, and related administrative features.

We may update, improve, replace, or remove parts of the service over time. Where a material change is likely to affect existing customers, we will try to give reasonable notice.

2. Accounts and access

You must provide accurate account, company, contact, and billing information. You are responsible for keeping login details secure, controlling staff access, removing users who no longer need access, and notifying us promptly if you suspect unauthorised use.

You are responsible for all activity under your account unless that activity is caused by our own breach of these terms or our negligence.

3. Plans, trials, and billing

Current public plans are shown on the Perfexly website before signup. Prices are listed in GBP and are billed monthly unless another billing period is agreed or made available.

The Starter plan includes a 7-day trial. Professional and Business are paid signup plans and do not include a trial unless we state otherwise at the point of signup. If a trial is provided, billing begins when the trial ends unless cancelled before the end of the trial period.

Paid subscriptions renew automatically until cancelled. You authorise us and our payment providers to charge the payment method supplied for subscription fees, add-ons, usage-based items, setup services, taxes where applicable, and any other charges shown and accepted before purchase.

4. Plan limits and add-ons

Each plan may include limits such as staff users, client/contact records, storage, tenant instances, custom domain features, or module access. If your account exceeds a limit, we may ask you to reduce usage, buy an add-on, or move to a higher plan.

Add-ons may include extra staff users, extra storage, additional tenant instances, custom domain setup, or other services. Add-ons are billed as shown before purchase and may renew with your subscription unless stated otherwise.

Public plan limits at launch are Starter with 3 staff users, 500 clients/contacts, and 1GB storage; Professional with 10 staff users, 2,500 clients/contacts, and 5GB storage; and Business with 25 staff users, 10,000 clients/contacts, and 20GB storage. If a feature is not included in your plan, it may be hidden, restricted, or unavailable in your workspace.

Add-on prices may include extra staff, extra storage, extra tenant workspaces, or custom domain setup. The latest public prices are shown on the Perfexly website or in the checkout/account area before purchase.

5. Customer data and content

You keep ownership of the business data you add to your workspace, including contacts, leads, customer records, invoices, files, project information, support tickets, notes, and messages. You grant Perfexly the limited rights needed to host, process, back up, secure, display, transmit, and support that data as part of providing the service.

You are responsible for the accuracy, legality, quality, and backup/export decisions relating to the data you upload. You must make sure you have the right permissions and lawful basis to add personal data to Perfexly.

You should not store unnecessary sensitive information in Perfexly. This includes full payment card numbers, passwords, authentication codes, unnecessary identity documents, or confidential data that your business is not authorised to process. If you use files, comments, notes, or tickets to store customer information, you remain responsible for deciding whether that data belongs in the workspace.

We recommend exporting important business records before cancellation, before major internal workflow changes, and whenever your business needs an independent archive for legal, accounting, or operational reasons.

6. Acceptable use

You must not use Perfexly to break the law, infringe third-party rights, send spam or abusive communications, distribute malware, attempt unauthorised access, overload the platform, bypass security controls, scrape data, run automated attacks, or store material that is unlawful, harmful, defamatory, fraudulent, discriminatory, or exploitative.

You must not use Perfexly in a way that damages the service, other customers, our infrastructure, payment providers, email reputation, or any third-party platform connected to the service.

7. Security

We take reasonable technical and organisational steps to protect the platform. No internet service can be guaranteed to be completely secure. You are responsible for using strong passwords, limiting staff permissions, protecting devices, checking user activity, and telling us quickly about suspected security incidents.

8. Third-party services

Perfexly may connect with third-party services such as payment processors, email providers, hosting providers, analytics, accounting tools, or integrations. Third-party services are operated by their own providers and may have their own terms, privacy notices, fees, limits, and availability.

We are not responsible for failures caused by a third-party service outside our control, but we will take reasonable steps to help diagnose platform issues where possible.

Payment processing may be provided through services such as Stripe, PayPal, Revolut, or bank/manual payment arrangements. Those providers may perform their own fraud checks, security checks, card authentication, account restrictions, or transaction reviews. A payment is not treated as complete until it is confirmed by the payment provider or manually confirmed by Perfexly where bank payment is used.

Accounting, email, calendar, domain, or other integrations may need separate third-party accounts and credentials. You are responsible for maintaining those external accounts and for checking whether any integration is suitable for your business before relying on it.

9. Availability and maintenance

We aim to provide a reliable hosted service, but availability may be affected by maintenance, updates, security work, hosting issues, third-party outages, misuse, network problems, or events outside our reasonable control.

Where practical, planned maintenance will be performed in a way that reduces disruption. Emergency maintenance may be carried out without advance notice where needed to protect the service.

10. Support

Support is provided according to our Support Policy. Support covers reasonable help with account access, billing, hosted platform issues, and guidance on using included features. It does not include legal, tax, accounting advice, custom development, or third-party troubleshooting unless agreed separately.

11. Cancellation and refunds

You can cancel according to our Refund and Cancellation Policy. Unless we state otherwise, cancellation stops future renewal and access continues until the end of the current paid billing period.

Refunds are handled according to the refund policy and any rights required by law.

12. Suspension or termination

We may suspend or restrict access if invoices are overdue, payment fails, the account creates security or legal risk, the service is misused, or these terms are breached. Where reasonable, we will try to contact you before suspension, but urgent security or legal issues may require immediate action.

You may stop using Perfexly at any time. After cancellation or termination, access to the workspace may end and data may be deleted after a retention period unless export or retention is required by law or agreed with us.

If access is suspended for non-payment, we may keep the workspace temporarily available for payment recovery or export at our discretion, but we are not required to provide ongoing access indefinitely. If access is suspended for security, abuse, or legal reasons, we may restrict exports while we investigate or where disclosure could create risk for other users, customers, or the platform.

13. Intellectual property

Perfexly, the website, platform setup, branding, page content, configuration, and service materials belong to Perfexly or its licensors. You must not copy, resell, reverse engineer, or misuse the service except as allowed by these terms.

Your own uploaded business data remains yours.

14. Liability

Perfexly is provided for business use. We are not responsible for indirect losses, loss of profit, loss of revenue, loss of goodwill, loss of opportunity, or losses caused by inaccurate customer data, misuse, third-party services, or events outside our reasonable control.

Nothing in these terms limits liability where it would be unlawful to do so, including liability for fraud or fraudulent misrepresentation.

15. Changes to these terms

We may update these terms as the service develops, legal requirements change, or our operating model changes. The latest version will be published on this page. If a change is material, we will try to give reasonable notice.

16. Governing law

These terms are governed by the laws of England and Wales, unless mandatory local law gives you additional rights that cannot be excluded.
